Position Summary:

The Executive Assistant reports directly to the President and Chief Operating Officer/Chief of Staff.  This position manages the President’s office, strategic planning of the President’s schedule, and travel.  In addition, this position will manage the information flow to and from the President’s office, working with every department in the organization to ensure the President has timely and relevant updates.  The Executive Assistant must be able to anticipate needs, respond quickly and with good judgment in a fast-paced environment, and be able to handle highly confidential and sensitive information in a professional manner.


Position Responsibilities:


Oversee the President’s schedule and scheduling process and serve as the primary interface within HRC to strategically manage the many cross-organizational requests for the time of the President.

Proactively manage the conditions of success around the President’s meeting schedule, travel and speaking engagements.

Serve as the principal gatekeeper to the President.

Handle a complex calendar and many scheduling demands including the use of scheduling software (i.e. Microsoft Outlook and Gmail).

Anticipate needs and proactively develop solutions for the President.

Plan and manage the President’s complex travel arrangements.

Manage the President’s correspondence, oral and written inquiries, incoming phone calls, and emails.

Prepare expense reports in adherence with internal policies and deadlines.

Perform related administrative and clerical duties such as:  managing a heavy load of communications (telephone, mail, email) traffic, arranging conference calls, photocopying, filing, record keeping, and organizing briefing materials.

Coordinate, as directed, different projects for the senior management team and working closely with senior managers to ensure communication and resource flow.

Provide back-up administrative and project support to other members of the executive department.

Some travel may be required.

Other duties as assigned.


Position Qualifications:

Bachelor’s degree preferred with five or more years’ relevant work experience.

Proven experience as an executive assistant in a professional environment.

Exceptional attention to detail and organizational skills.

Strong professional ethics and sensitivity in dealing with confidential issues.

Ability to professionally represent the President and HRC at all times.

Demonstrated ability to use tact and diplomacy when dealing with sensitive issues.

Excellent communications: verbal and writing skills.

Excellent customer service skills and the ability to work well across the organizational hierarchy from Board members and senior vice presidents to junior staff and new volunteers.

Demonstrated ability to work well under pressure, handle multiple projects simultaneously, and manage work under tight deadlines.

Flexibility and adaptability in a fast-moving and changing work environment.

Demonstrated computer skills, including Word, Excel, and budgeting and membership software programs.

Schedule flexibility to work some evenings and weekends as needed, sometimes with little or no notice.

Knowledge of the LGBTQ community and Washington political environment highly recommended.

Personal interest in or commitment to LGBTQ equality required.
